Form I-9 VERIFICATION
PROCESS IN VIEW OF COVID-19
In view of COVID-19, DHS has issued new Form I-9 guidelines for employee verification process. This is to comply with physical verification of employee documents during onboarding, which is not possible given the current situation.
NOTE: This is applicable to all employees who were hired post March 20, 2020 and will be available until further government notice.
The onboarding process in the GetHired system incorporates these guidelines for employers.
Follow the steps below to comply with COVID-19 guidelines for Form I-9 during onboarding:
1) Sign in to the "Application Tracking System" with your credentials.
2) Select the "Onboarding" tab. A list of new hires displayed. If you need to resend onboarding documents to these employees, you can do so by clicking the "Resend" button.

3) Employee receives the documents and completes onboarding at their end. After employees upload their documents, they are listed under the "Employees" tab of "View Employees" page.

4) Select the "Employees" tab. A list of employees who have completed their onboarding steps or are in the process, is displayed here. For Form I-9, after an employee uploads a valid document, you must verify the same (this is in lieu of physical verification). You will see "Complete Employer Side" link next to Form 1-9, indicating that you must verify the documents.

5) Click "Complete Employer Side" and verify the uploaded document by employee. You can choose to accept or reject this document. Follow the on-screen instructions to check valid documents that are accepted.

6) When you accept the document, additional fields are displayed for you to review. Provide valid details in the section, "List A".

7) Ensure that you review COVID-19 instructions under the "Additional Information" section. Follow the guidelines and take necessary action.
8) Sign and save the changes.
9) In case you were not able to verify documents physically due to COVID-19, then you can "re-verify" using the Covid-19 reverification link. The system displays a reverification link one time to physically examine the documents, before you approve the same.

10) Click "COVID-19 Reverification". Confirm that you have read the guidelines and Click "Continue".

11) The system prompts you to confirm if you have verificed the documents manually.

12) Click "Yes" if you have verified the documents. The Form I-9 document verification window is displayed. Follow the instructions given in "Steps 6 and 7" above. Edit the details as required, sign, and save the changes to complete the Form I-9 verification.
